Chargeback Defense Addendum

(Incorporated by Reference into the Returns, Refunds & Dispute Policy)

This Chargeback Defense Addendum (“Addendum”) applies to all purchases made from APS L.L.C. d/b/a Southglide, operating as PalletForkPros.com (“Southglide”). This Addendum is incorporated by reference into, and forms part of, Southglide’s Returns, Refunds & Dispute Policy.

By completing a purchase, the customer expressly acknowledges and agrees to be bound by this Addendum.


1. Proof of Delivery (Order Not Received)

Delivery is deemed complete when the carrier confirms delivery to the shipping address provided by the customer at checkout.

Carrier tracking records, GPS delivery scans, delivery receipts, and freight documentation constitute conclusive and authoritative proof of delivery. Claims of non-receipt must be reported within five (5) calendar days of carrier-confirmed delivery. Claims submitted after this period may be denied.

Southglide is not responsible for loss, theft, or misplacement occurring after confirmed delivery.


2. Item as Described

An item is considered “as described” if it conforms to the manufacturer’s specifications and intended use as published at the time of sale.

Compatibility issues, improper installation, misuse, customer error, or failure to verify specifications do not constitute “item not as described.” Manufacturing defects are handled exclusively under the applicable manufacturer’s warranty unless otherwise stated.


3. Mandatory Return Authorization, Tracking & Documentation

All returns are governed strictly by Southglide’s return procedures and are valid only if all required steps are completed.

A return is authorized solely when:

  • The return request is approved in writing by Southglide
  • The customer provides a valid, active tracking number prior to shipping
  • The tracking number is reviewed and acknowledged by Southglide
  • A Return Authorization Record or equivalent written acknowledgment is issued and signed
  • The item is shipped only after all authorization and documentation requirements are satisfied

In any payment dispute or chargeback, the customer-provided return tracking number associated with an authorized return constitutes primary evidence of return shipment status. Only tracking numbers recorded and acknowledged by Southglide as part of an approved return authorization may be relied upon to substantiate a return, refund, or credit claim.

Returns that do not comply with these requirements are deemed unauthorized and void all eligibility for refunds, credits, or exchanges.


4. Recordkeeping & Evidentiary Authority

Southglide maintains permanent paper and electronic records for all orders, returns, refunds, and credits, including but not limited to:

  • Carrier delivery confirmations and freight documentation
  • Return approvals and authorized tracking acknowledgments
  • Signed return authorization records
  • Inspection and manufacturer approval records
  • Credit invoices and payment processor confirmations

These records constitute authoritative business documentation and may be submitted as controlling evidence in any payment dispute, chargeback, arbitration, or investigation.


5. Refund Processing vs. Bank Posting (Credit Not Processed)

A refund is considered “processed” when Southglide submits the credit to its payment processor.

Posting time, fund availability, and statement visibility are controlled solely by the customer’s bank or card issuer and are outside Southglide’s control. Delays caused by banks or issuers do not constitute failure to issue a refund and do not support a “credit not processed” claim.

Payment processor confirmations and credit invoices constitute final proof of refund submission.


6. Chargebacks & Dispute Escalation

If a customer initiates a chargeback or payment dispute:

  • All return, refund, or exchange processing may be suspended
  • Billing-related communication may proceed exclusively through the payment processor and card issuer
  • Pending, conditional, or provisional credits may be withheld until dispute resolution

Southglide may submit all relevant records, documentation, tracking acknowledgments, signed authorizations, inspection records, credit invoices, and processor confirmations as evidence in defense of the transaction.


7. Acknowledgment & Acceptance

By completing a purchase, the customer acknowledges and agrees that:

  • This Addendum governs chargebacks and payment disputes
  • Compliance with Southglide’s return and refund procedures is mandatory
  • Authorized tracking numbers recorded by Southglide control return verification
  • Failure to follow established procedures may void eligibility for refunds or credits
